The initiative involves replacing legacy laptops with Windows 11-compatible devices, with rollout activity scheduled across multiple sites in Auckland and regional offices. This is a high-impact programme involving complex logistics, device distribution, and end-user engagement.
About the Role We're seeking a proactive and detail-focused Project Administrator to join the delivery team. You'll play a key role in coordinating the logistics, inventory, communication, and administrative tasks required to ensure a seamless rollout of new devices. This is a hands-on role with a blend of planning, stakeholder engagement, and onsite support, ideal for someone with strong organisational skills and experience supporting technology or asset-based projects.
Key Responsibilities
Coordinate day-to-day administration across multiple workstreams and locations
Support device rollouts in Auckland (onsite at key locations) and liaise with regional admins for remote deployments
Maintain detailed inventory records including asset tracking, order status, and serial number documentation
Manage the project communications inbox, responding to queries and supporting end-user communications
Assist with FAQ development and end-user support documentation
Provide hands-on support during rollout days, assisting users with laptop replacement and basic troubleshooting
Coordinate the return and recycling of legacy devices, ensuring data and asset compliance
Collaborate with multiple internal teams and external vendors to keep project activities on track
Track and escalate project issues, risks, and logistics challenges as needed
What You’ll Bring
Experience in project administration, logistics coordination, or IT asset deployment
Excellent organisational skills with strong attention to detail
Confident working across email inboxes and documentation tools to manage communications and updates
Ability to collaborate effectively with internal and external stakeholders
Proficiency in Microsoft Office (Excel, Outlook, Word) and familiarity with asset management systems
A customer-focused mindset with the ability to assist non-technical users
Comfort supporting basic laptop setup, tracking serial numbers, and working in a fast-paced rollout environment
